In my own preparations for fulltiming I purchased a Fujitsu ScanSnap (s1500). I run two small businesses and am still wrapping up the proceedings from closing down a brick and mortar shop, so plenty of paperwork follows wherever I do. It was an investment WELL worth the cost. On my first test scan last week it took 40 old electric bills and related letters, scanned all 40 in about a minute, recognizing where some docs were double sided and some were not, and dumped them all into a nice, searchable PDF. My sales records got scanned directly into Excel, and from there imported into quickbooks without any further formatting. Rather than using the proprietary software that came with the scanner or found elsewhere, I simply store these documents in named folders just as I would in a filing cabinet, on an external hard drive. Crucial docs additionally get backed up to DVD and kept with family.
The scanner itself has a tiny footprint the size of my handbag, and the company makes an even smaller portable one. In a week almost ten years of paperwork has dissolved into a cute little red hard drive just bigger than my iphone. Even if I weren't prepping for full timing, this would be my favorite investment of the year so far.
