July 5th IBT Seminar and Meeting Simulcast

The July 5th IBT Seminar and Meeting will be broadcast beginning at 8:00 a.m. M.T. (10:00 a.m. E.T.) to be followed immediately by the International Board of Trustees meeting. There will be a break for lunch from approximately 12 noon to 1 pm.

Audio for the meetings will be streamed live. A windows Streaming Server is being used. Anyone who wants to listen to the meetings must use Windows Media Player and connect to the audio at http://WBCCI.primcast.com/WBCCI

discussion of region cuts, 1 and 2 agreed, 10 regions did not agree to concept but kept silent, but there exists no majority as such...

discussion was the new dealer ad not included in the budget part of future revenue, and trailer sale part as income, and no new increases for committee but has been increased because it includes marketing committee increase and accounts for that,

Myron says first year balanced budget in three years, the IBT unamimously accept the budget and can accentuate the positive

trim not across the board but selectively for those regions that do not require it and leave it to some regions that do need the funds to visit once per year

Criteria on membership and timeline should be set. There are a lack of officers. We need changes cooperation and procedures for region guidelines.
One region has only a president for its officers, if the president vacates there will be no representative of region, units have leeway to change their by-laws. 2020 recommends reducing and consolidating regions so it must be going forward with it is eminent. 6 year for region may be too long a commitment. To get people to come forward examine the possible reasons. The EC serves one year terms and not 2 as in region.

Region 3 has no vps but has 22 units largest WBCCI region. There is a region that only has three units. Go from 6 years to 3 and have round tables at rallies instead of region travel. What can we do to make people want to participate at the upper level.

members need to see value and grow in numbers we lost 177 members our loss rate has slowed by half but a loss is a loss. We can recruit 642 new members and increase was in region 3.

goal for units is to get them to renew
of 128 units 44 achieved growth
We must show how great and friendly this club is and that we want them as our friends. If we all demonstrate that we will grow in numbers.

discussion: how many because of marketing? Meeting to be conducted...mentoring group and program at the rally 2 seminars neither were not overly booked 8 participants of 50 seats. We need mentors. No reports from the seminars. primary push to use media package. Sierra Nevada was down to 7 and then use mentoring and media kit, buddy rallies and saw growth 37 members now. Attendance was abismal at mentor membership seminar 12 and 4 presenters. Let's get out and do something if membership is important. Registration should give out membership packets. Awards for 85 new members (Don McKelvey) and 65 new members another...update info packets say $55.00 needs to reflect increase to $65.00, units need to work directly for retention and recruitment where grassroots it all occurs. Wally Byam Caravan Club, what's so great, push we are a caravan club, we should stress it because the caravans are the most fun. When you get somebody you would like to recruit you can have a free BB sent to them. First timers meeting was 85 in attendance, they wanted more vendors and aking questions about the Blue Beret, they should have read the info but they were asking questions, units should stress BB reading. Seminar was listed at wrong day which could explain why the workshop was not that well attended. There was good attendance for the original time slot. Merit award will give it emphasis and strength.

Charlie Burke registered 130 more users to forum during rally. Membership is requested as a pop up on forums to recruit as a member value. 1st anniversary date for forums and newsletter and looks really good, 163o0 users as of 1/2 hour ago.

20 people at seminar at International was disappointing. Had several safety issues received and will add to next BB article and thank you for letting him serve.

4 seminars for 2020 presented region officers spouses and unit and gen membership and hopefully have a better understanding of what they are trying to do. Since regions had time 6 regions gave not have time, two way discussion between IBT and memberhip, 2020 appreciates the cooperation. Would like the RP to e-mail them to the rest of the committee to return a report to gen membership. Eliminate the 3rd vp and will be action item. Two mwmbwes of 2020 will be changes and thanks them for service and 4 candidates to replces them and thanks the applicants. Interviewed the candidates and Richard G and Jack Ample have been chosen for the committee.

save $44,000 and $700.00 to midwinter eliminate one office IBT and affects bylaws and needs to be addressed at the IBT midwinter , elimination of 3rd vp. Gives the 2nd and 1st vp more work.
discussion: transition with new vp can work together to fulfill the job in the future. Before we vote eliminate activities on how to deal without that responsibility in place. need that to support change. Consider the president do more work and less with organizing the International rally and can do more that needs attention. We don't know what all the positions do... I have a strong opinion on this both ways its a difficult position and 3rd vp has had a lot of extra work for the other two VPs the IP doesn't have a lot of time for committees and chairmen, because there is so much to do. We will save some money but will we really save some money? ! extra year may help to understand what is involved, it took 4 years to find a good site, you have to start early. We are getting smaller we don't know. membership chair thinks we are going to grow. I don't want to see this position go. Is this a valid function. the motion to send to delegates for consideration to eliminate 3rd vp. Ewles is this motion to send out and require a vote will not require a second, from a committee so no not require a second. 3rd vp is hidden there are many things discovered will be apprised. A lot of hidden things of the 3rd in constitution...One step further if sequence can be prepared to see the burden placed on the other officers. Poll past IP to see how long to secure rally site...Started 3 years out and they were booked three years in advance and had to visit nine other sites to find D. Illinois taking time and travel to find it. Takes time... We spent 2 1/2 -3 years going down the East coast and either too small or didn't get back at all with info...Depends on the facility it depends some times 3 years OK cannot rley on 3 year lead in. 3rd vp work very hard and hate to put them onto other vps...the negotiation process takes a long time, wiring, wash water and isse of responsibilities when they get to the rally...water electric parking and moved now upon the 2nd vp... The biggest positive the elimination of $5,000 or $700.00 figure is the reason to bring it up, but many problems wih this the EC& would have to restructure the responsibilities...have to transition from unit to region to EC and it is a worst position as the ountry to do on the EC and would be problematic and decreased by one member and give less time. We didn't even think about the time limits that you face. Three and four years is a problem. In the committee we talked about if the rally would have a committee in that area to place rally. Moss says he would support the motion now we are 1/3 of what we had, we need to adjust to reflect membership. We can hire a planner well in advance to have a meeting and probably wouldn't cost us anything. Volunteerism isn't always free. These Vps are having a 5 year commitment an therefore I do support the motion,

More comments: Time to resize the company and let the delegates decide and pass this to them... Cut money to save a little. There is too much work. let the people perform first perhaps the faith in them will improve the club...until you serve you do not know what it is like...we don't know what you do at the rallies...we need cheat sheet to know what we are talking about...how many committees were there when membership blossomed...do not know...we talk about how long it takes to do it and heikenswiler has his lined up so hard to see it takes that long and been to 2 IBTs and not paid...sometimes the venue is cancelled and have to start over...hard to see in the forest need someone needs to be looking out and not crowded out and time to be managed.Fence sitting, outside duties 3rd vp the I{P has lots to do but things come up, money would be saved but if someone needs to set up rallies they will cahrge $5,000 or more to do that. I suggest that things move down, and restructure everything and not make assumptions. The members need the opportunity to see the officers and make region rallies, says Don Schaffer, travel for International officers would increase. In fairness to officers and membership is to have enough officers to do the load and not want to slight to see officers or to be seen as an officer, member value... You are part of problem, you are too busy for unit level elimination shortens career length and take chance to see what happens...the past IP is still a board member and make the current IP more ceo and the PIP more to run the rally if 3rd VP is eliminated...J. Larsen says lots of good comments as niminating committee problems is finding candidates, region officers are likely having the same problem. we could not get two candidates this year.

discussion: does the committee need finance for that chairman... no no budget...
Hadaway challenges uses BB and say distribute to help members become safer travelers and not tie hands to just the blue beret.

Electronic committee become standing committee and not a special committee. seconded to be created and is valuable and too inportant not to be standing no financial impact and no budget and all done online
Ralph Forester incorrect $300.00 budget last year and now $100.00 item already in there. Theresa standing budget was raised $7400 ...these committees have no impact the increase is the marketing committee so we have cut the other budgets

Motion to amend bylaws be amended to make marketing a standing committee. New committee and we should commit to be approved as important and no financial impact as it already has a budget and will not be increased.
discussion: Marilyn change looked at and if moved to standing they will continue, we are limiting the way it is written, change to contunually implement a plan of action. be careful what they are limited to. What about training and implementing units and be careful to identify what is expected of them. This is something that they want that we have learned from teaching...

discussion: will all funds go back to JC? allow them to invest in funds and separate rally fund in JC also, question what happenes to cash now, deposit into Gillette and then back to JC...every year person that handles it can have an acoount locally but does not have to be the total amount of rally funds...Tom C. says we contract with bank a year and a half in advance to make deposits does it have to be that far in advance or a week or two? Does it have to exist that well in advance? No funds were transfered until recently the account was set up in advance...asks Myron does it have to be set up in advance? There is a lot of process, maybe so but hate to wait and find you couldn't do it. there is preliminary work as to numbers and checks etc., he syas I'd say you can't...Open account in Illinois and have checks written or funds transferred...more discussion...setting it up each year check charges, do we need this bank account are we paying more to have this extra checking account. I do not believe we are reducing expenses we need a working fund there and has been established. A minimum amount can be transferred. This lets members cash checks without fees and need local relationship with a bank. The criteria is income shall be deposited to bank at the site according to the rule, but a lot of the funds are sent to JC when shifted, the wording leaves no latitude...this could be the rally fees collected at the rally...income shall be deposited it doesn't say all will be...change from may to can or shall and reputable bank is poorly worded, the person whose job it is should have the latitude to choose. Linda Amie says she often needs to take a check and cash it locally. There will be local account we are talking about bulk of funds sitting, that's what we are talking about, all we are doing is not tying the hands of where the money will go.
